Custom CRM vs Salesforce for Small Indian Businesses: A Practical Comparison
Choose Salesforce if a standard sales process fits your business and you want a mature product you can start using quickly, and choose a custom CRM if your workflow is unusual and off the shelf software keeps forcing workarounds. Neither is better in general, and for many small businesses Salesforce or another ready made CRM is the right answer.
What does a CRM actually do for a small business?
A CRM keeps your leads, customers and conversations in one place. It shows who enquired, what was said, what is pending and who is responsible. If you currently run this from WhatsApp chats and spreadsheets, even a basic CRM is an improvement.
So the first question is not custom versus Salesforce. It is whether you need a CRM at all, and a spreadsheet may be enough while you are small.
What does Salesforce offer small businesses?
Salesforce sells small business editions called Starter Suite and Pro Suite. Its small business pricing page lists them as per user, per month plans. Starter can be billed monthly or annually. Pro is billed annually and requires a contract. The page also says the prices are starting prices and that transaction fees apply. Check that page for current rates in your currency, because we do not quote them here.
Per the same page, Pro adds greater customization and automation, and access to AppExchange, Salesforce's marketplace of add on apps.
- You can start without a software project.
- The product is mature and widely used, so many consultants and tools know it.
- A large marketplace of add ons means common needs are often already solved.
- Salesforce maintains and improves the software, so you do not.
When is Salesforce the better choice?
Be honest about these, because they cover many small businesses.
- Your sales process looks like a standard pipeline: lead, contact, quote, close.
- You want to start quickly, without a build project.
- You expect to need many integrations, and a marketplace app already exists for them.
- You have no wish to depend on a developer to keep the system running.
- You plan to grow into a larger team that will expect a well known tool.
If most of these are true, subscribe to a ready made CRM and put your effort into using it well.
When does a custom CRM make sense?
A custom CRM is built around your own process. It earns its place in a narrower set of cases.
- Your workflow has stages or data that standard CRMs do not model well, such as event dates, vendor rosters, staff assignments and several linked bookings per client.
- Your team keeps working around the tool, with side spreadsheets for the things it cannot hold.
- You want the CRM tied directly into your website, your WhatsApp messages and your billing, in the way you want.
- You want to own the system and decide how it changes.
- Paying a subscription for every user does not suit the way your team works.
These are the systems our custom software development service builds: CRM and lead management, dashboards, booking and scheduling tools, and admin panels.
What are the real costs of each route?
Neither route is free. Salesforce charges a recurring fee per user, and customization or help setting it up may cost extra. A custom CRM costs money to build, and then it needs maintenance, hosting and a person who understands the code.
We do not claim one is cheaper. It depends on how many users you have, how much you need to customize and how long you will use the system. Ask each option for a total for the same period and compare.
What risks come with a custom CRM?
A fair comparison names the downsides of building. Ask any builder about these before you sign.
- Dependence: if only one developer understands the system, you are tied to them. Ask for documentation and for the source code to be handed to you.
- Maintenance: software needs updates and fixes. Agree who does this and how it is charged.
- Scope creep: a custom system can keep growing. Start with the part that hurts most.
- Missing polish: a young custom tool will lack some features a mature product has.
What about other ready made CRMs?
Salesforce is one of several subscription CRMs, and the same questions apply to the others. Does the standard pipeline fit your process, what is the total per user cost over the period you will use it, and how easily can you export your data if you leave? Always test the free trial or starter plan with your real leads before you commit your team to it.
How should you decide?
Write down your process, from first enquiry to payment. Then try to map it onto a ready made CRM. If it fits with small changes, use the ready made one. If you have to bend the process badly, or the tool cannot hold your data, talk to a builder.
We start every project by understanding the business and its workflow, then define the scope. If you are unsure which route fits, describe your process on our contact page. If a ready made CRM is the better answer, we will say so.
Frequently Asked Questions
Is a custom CRM cheaper than Salesforce?
Not necessarily. Salesforce charges per user on an ongoing basis. A custom CRM has a build cost plus maintenance. The cheaper option depends on your user count, customization needs and time horizon.
Can a small business use Salesforce?
Yes. Salesforce sells Starter Suite and Pro Suite editions aimed at small businesses, priced per user per month. See Salesforce's small business pricing page for current terms.
Do I need a CRM or is a spreadsheet enough?
A spreadsheet can be enough while volume is low and one person manages everything. A CRM becomes useful when several people share leads, follow ups get missed, or you need reports.
What should I ask a developer before commissioning a custom CRM?
Ask who owns the source code, what documentation you receive, who maintains the system after launch and how changes are charged.
